Using an AI Meeting Assistant with Microsoft Teams

A consent-first workflow for using transcription and meeting context alongside Microsoft Teams.

4 min read

Teams calls may include colleagues, customers, and guests, so choose capture settings and notices deliberately.

Choose the narrowest audio source

For personal notes, microphone audio may be sufficient. For a shared conversation, permitted meeting audio may be needed. Select only the source required for the task.

Test the selected Teams audio before the meeting begins, especially when using tab or system audio.

Tell people clearly

At the start, explain whether you are transcribing, recording, or both, and why. Follow organization policies and local requirements; an internal meeting is not automatically approved for capture.

Give participants a practical way to ask for capture to stop.

Review the handoff

Use the transcript to identify questions and decisions, then confirm action items with the group. A short human-reviewed recap is often more valuable than storing a video.

Keep access limited and delete material that no longer has a business purpose.
