AI Meeting Summary and Action Items: A Better Format

A simple format for AI-assisted meeting summaries that makes decisions and action items easy to review.

3 min read

A useful summary is a shared record of what matters next—not a shorter version of every sentence.

Use four sections

Start with purpose, key discussion, decisions, and action items. This structure works across project reviews, customer calls, and planning meetings.

Keep each section short enough to scan in a minute or two.

Write complete decisions

State the choice and scope: ‘Use the existing authentication service for the first release’ is clearer than ‘auth discussed.’ Add rationale when it will matter later.

If no decision was made, say what information is still needed.

Invite corrections

Every action needs an owner, and every recap needs a brief request for corrections. This turns AI output into a collaborative record rather than an automated verdict.

Corrections made within a day are far easier than reconstructing a decision weeks later.
