How to Automatically Generate Meeting Notes

A repeatable process for turning a transcript into concise notes, decisions, and action items people will use.

4 min read

Automatic notes help when they make the next action clear instead of simply shortening a transcript.

Use a simple structure

Organize notes around purpose, discussion, decisions, risks, and action items. An agenda gives an even better outline because it groups context by topic.

Avoid chronological dumps; readers need to find what changed, not every sentence that was spoken.

Separate decisions from ideas

Label final decisions differently from options that were merely discussed. When something is unresolved, write ‘to be confirmed’ rather than inventing consensus.

Include the approver or owner where that is known.

Make actions specific

Each action should include a verb, owner, and date or trigger. ‘Investigate performance’ is vague; a named task with a review date is usable.

A person should check names and commitments before the summary is sent.
